Built-in Tools for Data Visibility and Processing 

According to Robert Hoff, Operations/Technology Manager, Chase Plastics has found that many features of the Prophet 21 relate directly to improved order processing and enhanced customer communications and satisfaction. "With Prophet 21, there is a lot of great data right at your fingertips that gives a quick view of that customer's overall situation. You can see open orders, sales history, contacts, and credit information all at one location. Previously, we would need to go to multiple spots to get all of this data. Prophet 21 saves both time and money, and most importantly, allows us to respond more effectively to our customers," says Hoff. "Similarly, if we want to know what has happened with an item, we can track all of the activity much more easily by scrolling through the various tabs. The related drill-downs really help us in finding data by lot number."

Chase Plastics has also made great use of the Epicor DynaChange™ portals extensibility option in Prophet 21. According to Hoff, portals have allowed the company to identify specific pieces of information for an activity, or to notify employees when exceptions occur. "Examples of this would include RMAs (Returned Material Authorizations) that haven't been processed, or location-specific inventory or expected shipments. These portals are continuing to be developed as a tool to provide real-time data so our team can address issues in the fastest, most efficient manner," Hoff notes.

System Training and Refining 

The use of the Epicor Learning Management System (LMS) helped make the company's Prophet 21 implementation a success. "Upfront training is critical," explains Hoff. "Employees must understand and buy into the solution, because they're the ones who will be using it every day. We made extensive use of the LMS; our entire team embraced the new system training. We set up crossfunctional teams to run orders through the entire process of order entry, purchasing, credit approval, picking, shipping and invoicing to understand the flow before the first real order was processed."

In addition, Epicor consultants spent time on understanding the company's needs. "They were wonderfully responsive and showed creativity in how to use the product," says Hoff. For example, the consultants worked with Chase Plastics to help the Prophet 21 system address some packaging issues they had. "We had been putting package size in with lot number, which was not the best way to do things," Hoff notes. Because base inventory management functionality was not going to be sufficient, Chase went through a Scrum process with Epicor to customize the Demand Review capabilities in Prophet 21 into a forecasting tool that will provide great benefits. "This has been fabulous," states Hoff. "The process worked extremely well, and the technical resources really took the time to understand our needs, communicate the plan and then follow the project through to completion. It truly is a partnership-we make Epicor as good as they can be, and vice versa."

A Foundation for Growth 

"We are clearly seeing improved communication and more productive processes," concludes Hoff. "We're confident that Prophet 21 will be the business management system that will assist us in sustaining our growth and enhancing productivity over the long run. We know there are even more improvements we can make as we continue to refine our processes with use of the Prophet 21 toolbox."
